Workflow automation
Wire your tools together and let them run.
We build automation on self-hosted n8n plus AI where it earns its place — connecting your CRM, inbox, store, and site so the repetitive work happens without you. Same operator, same stack, no fourth vendor to coordinate.
The real problem
Why the default way falls short.
Manual copy-paste between tools
A lead comes in one place, gets typed into the CRM, then triggers an email someone remembers to send — until they don't. Every manual handoff is a place work leaks. Automation closes those gaps so data moves on its own.
Per-execution SaaS metering
Hosted automation platforms charge per task or per execution, so the more useful your automations get, the more they cost. Self-hosted n8n runs on your own infrastructure with no meter running.
Your data through a black box
Cloud automation tools route your customer and business data through servers you don't control. Self-hosting keeps sensitive data on infrastructure you own, which matters more the more you automate.
What you get
- Self-hosted n8n workflows on infrastructure you control — no per-execution metering
- Integrations across CRM, email, e-commerce, and your website
- AI/LLM steps for drafting, triage, and classification, added with an info-gain gate
- Lead, order, and follow-up flows that run without manual copy-paste
- Alerting so a failed job surfaces loudly instead of failing silently
- Built and hosted by the same operator who builds your site — no handoff
How a project runs
- 1 · Map the busywork — We find the repetitive, error-prone handoffs — the copy-paste, the "did someone send that?" — that are worth automating first.
- 2 · Build the flows — Self-hosted n8n workflows connect your tools, with AI steps only where they genuinely add value.
- 3 · Harden & alert — Each flow gets error handling and alerting, so a failure pings you instead of quietly dropping work.
- 4 · Run & extend — The automations run on your infrastructure, and we extend them as your process grows.
How we think about workflow automation
Automation is the connective tissue between the other things we build. Your site captures a lead, the CRM should know instantly, the right email should go out, and the follow-up should be scheduled — all without a person shuttling data between tabs. n8n is the tool we use to wire those steps together, and because we self-host it, there is no per-task meter turning your efficiency into a bill.
We add AI deliberately, not for hype. An LLM step is genuinely useful for drafting a reply, triaging an inbox, or classifying an incoming request — and useless or worse when bolted on to look modern. We gate AI on info-gain: it goes in where it does real work and stays out where a simple rule is more reliable.
The standing rule across every automation we build is that silent failure is worse than loud failure. A job that quietly stops — the sync that died, the alert that never fired — costs you more than one that fails loudly, because you find out too late. So every flow we build emits a signal when something breaks, rather than swallowing the error and leaving you to discover the damage.

Questions
Workflow automation FAQ
What can you automate?
The repetitive handoffs between your tools — new leads flowing from your site into your CRM, order updates, follow-up emails, inbox triage, review requests, data syncs. If a person is copy-pasting between two systems, it is usually a candidate.
Why self-hosted n8n instead of a cloud tool?
Two reasons: no per-execution metering (your automations don't get more expensive as they get more useful), and your data stays on infrastructure you control instead of routing through a third party.
Do you use AI in the automations?
Where it earns its place — drafting, triage, and classification benefit from an LLM step. We add it with an info-gain gate rather than bolting it on for hype; a simple rule is often more reliable.
What if an automation breaks?
Every flow we build has error handling and alerting, because silent failure is worse than loud failure. A broken job pings you rather than quietly dropping work.
Do you build custom databases and data syncs?
Yes. When a spreadsheet has become the system of record, we design a proper database behind it — PostgreSQL, MySQL, or an existing platform like FileMaker — and build the syncs, APIs, and import jobs that keep it consistent with the rest of your tools. You own the schema and the data.
Can you set up a CRM and lead pipeline?
Yes. We deploy self-hosted CRMs (for example EspoCRM) or connect the one you already use, then wire your site forms, inbox, and ads into it so every lead is captured, tagged, routed, and followed up automatically.
Do you offer IT consulting for online businesses?
Yes, as part of the same engagement. We audit how your site, hosting, email, domains, and tools fit together, flag the security and cost risks, and give you a written plan — then build it, or hand it to your team.
